 Start Self Check-in: Send a "Self Check-in" Letter to Guest

The Self Check-in function is enabled for each booking in MyPMS and is seamlessly integrated with BookingCenter Customized Letters.TheSelf Check-in process is started by sending a customized letter via email and/or SMS to the Guest ( on or before the check-in date).

This Letter is called the "Self Check-in" Letter and will be automatically emailed and/or SMS to the Guest with the secure link to access MyBooking at a scheduled time before check-in or on check-in date, using the "Auto Letter" function.

If this letter is sent BEFORE the check-in date then the guest will only be able to manage BookingDetails. If the Letter is sent ON the check-in date, the self check-infunctionwillbeenabled for the booking. It is important to note that all criteria must be satisfied before the "Check-in" button displays and the Guest can check in. See Check-in Status

Once the "Self Check-in" Letter has been created and set as the Default, then you need to select the method delivery (email and/or SMS) and schedule the timing of when the "Self Check-in" Letter is sent to the Guest ( before or on the check-in date). Guest completes Self Check-in Process

When the Guest clicks the secure link in the Self Check-in Letter sent, they will automatically be logged in to the MyBooking Self Check-in portal.

Date of Login

  • If the Guest logs in BEFORE the Check-in date,
  • If the Guest logs in ON the Check-in

Number of Rooms Booked

  • If the Guest has only one room booked, then only the booking details will displayforthatparticular  booking..
  • If the Guest has a multi-room booking, then ALL of the bookings under that Guest Name for check-in that day will display. The Guest can click on each booking to view and update details. 

Check-in Complete Send Guest Room Entry Instructions

AFter theThe first step to Self Check-in is to enter the specific Room Entry information into the "Room Notes" field of each Room. This field is used to display the Room Entry information to guests when they complete check-in in MyBooking AND in the email and SMS sent to the guest when they complete check-in. In order for this information to be automatically emailed and/or SMS to the guest, you must enter the information in the Room AND insert the merge field the "Self Check-in Room Entry Information" Letter. This Letter can be created by you or you can edit the Default Template provided. The merge field to be used for this Letter is the "Room Notes" under "Booking Details" of the Letter Editor. 

After this letter is created, it must be set up as an Auto Letter function to be automatically emailed to the Guest on the check-in date. or sent manually in the Letters Tab of the Bookng.

 NOTE: Both the "Self Check-in" and "Room Entry Information" Letters can be sent to the Guest via email, SMS or both.

Set Delivery Method for "Self Check-in" and "Room Entry Information" Letters: Email and/or SMS

The Self Check-in Letter startstheselfcheck-inprocessby sending the Guest an email and/or SMS. with the link to MyBooking.The "Room Entry Information" Letter is sentwhenselfcheck-iniscomplete and contains the Room Entry Information. You can choose how you want to send both of these Customized Letters, via email and/or SMS.


To choose the delivery method for these Letters, follow these Steps:

  • Go to SETUP | PARAMETERS | AUTO LETTERS and either create a new Letter or edit an existing Letter by clicking on the Letter ID.  We provide a default "Self Check-in" Letter that you can customize to your property.

There are two MyBooking merge fields, "Signature" and "Initials", that you can insert into your Letters depending on your needs. Both will display a digital signature box which must be signed before the Guest can submit the Letter.

To insert either or both of these merge fields into your Letter:

  • Place your cursor inthe the bodyof the Letter where you want the digital signature box to display.

  • Go to the BookingCenter Globe Icon and the "Digital Signing" Section. Select the merge field and it will be inserted into your Letter where the cursor is. 

  • Click Update to save changes.
