BookingCenter's Mobile Check-in lets the Guests update Booking Details, Cancel the booking, complete the Self Check-in process and get Room Entry information from their mobile device. The process is fully integrated with your PMS with synchronized status updates, customized messaging and digital document signing.

Once your site is enabled for Self Check-in, the function is enabled for each booking in MyPMS and is seamlessly integrated with BookingCenter Customized Letters. To start the process, the Guest is sent (email and SMS) a customized "Check -in" with a secure link to MyBooking, the BookingCenter guest portal which allows the guest to view and update booking details and complete self check-in. To implement the Self Check-in- Digital Signing Process, follow the steps below for detailed step-by-step instructions.

 

Self Check-in with eSign

 

If you are using the Self Check-in function and want to require a digital signature for check-in, the BookingCenter eSign-Digital Document Signing lets you create a customized Letter with a digital signature function and send it to a guest to open and digitally sign via a secure link attached to their booking. This allows you to request and store a digital signature for the guest at any time on or before the check-in date. The eSign - Digital Document Signing function is already enabled for each booking in MyPMS and is seamlessly integrated with BookingCenter Customized Letters. Self Check-in

Self Check-in Setup

  • Step 1: Create "Self Check-in" Letter: Start by creating a customized Letter with Check-in details and the secure MyBooking link using merge fields.

  •  Step 2 : Email  "Self Check-in" Letter  to the Guest: There are two ways to sent a letter to a guest. One is to manually email the Letter from the Booking "Letters" Tab. The second is to set up Auto Letters to automatically send the Letter to Guests on the Arrival Date. If you choose to use Auto Letters to send the Self Check-in email, to Auto Letters


Self Check-in - Digital Signature Process

  1. Email the ""Self Check-in" Letter Letter to Guest. This letter can be sent via email two ways: manually by using the "Letters" Tab in each booking or, automatically by using the "Auto Letter" function to send the letter to the guest at a scheduled time before check-in.
  2. Guest clicks on Self Check-in link
  3. The Guest is automatically logged into MyBooking. If the guest logs in BEFORE the check-in date, then the only functionality will be to manage their booking details and/or Cancel their Booking. If the Guest clicks the link and logs in ON the Check-in date, and criteria been met,  then a "Check-in" button will display.
  4. Guest clicks "Check-in", "Updates Booking Details or "Cancels Booking"
  5. If the check-in criteria is met and the payment method authorized for any balance due, then the Guest will be checked- and the Room Entry information will display on the page, be stored in MyBooking and be emailed to the Guest.

Self Check-in - Digital Signature Letter Storage:

If the Guest has signed and submitted a Digitally signed Letter, then it is saved as a PDF and attached to the booking. This signed Letter will also be displayed in MyBooking with a link to view the PDF.
