Default Letters used for Self Check-in

There are two three Letters that need to be created for the Self Check-in process:  the "Self Check-in Start" and "Self Check-in Complete" Letters.

The "Self Check-in Start" Letter starts theself check-in process by automatically sending the Guest an email and/or SMS with a secure link to access MyBooking.

The "Self Check-in Complete" Letter contains your customized room entry information and instructions and is displayed to the guest in MyBookng and automatically sent to the Guestwhenself check-in is complete.

Once you have created the Self Check-in LettersAfter the "Self Check-in" and "Checked-in Complete" Letters have been created, they need to be selected as the Default Letters in SETUP | PARAMETERS | DEFAULT LETTERS. The Default Letter for Email is required for the Self Check process to function. The SMS Messaging is optional. To choose one or both of these as the delivery method, you simply need to select the Default Letter you created or the template provided in the respective drop-down list for Email or SMS. If you do not want to send an SMS message, then do not select a Letter in the drop-down menu and leave it on "Select Letter".

Remember, if you Self Check-in Letters and the method of delivery selected, email and/or SMS. If you choose to the use SMS option, then you will need to create a separate SMS Letter.  For example, if you want to send the "Self Check-in" Letter via email and SMS, you would create two Letter Templates and select the respective Letters next to the Default Letter. "email and SMS" for each function.

Both of these Letters can delivered via email and/or SMS. To choose one or both of these as the delivery method, you simply need to select the Letter in the respective drop-down list for Email or SMS. For example, If you do not want to send an SMS message, then do not select a Letter in the drop-down menu and leave it on "Select Letter".

    Default "Self Check-in Letter"

    Go to SETUP | PARAMETERS | DEFAULT LETTERS

  • Create "Check-in Complete" EMAIL Letter: Start by creating a customized Letter with a request to start check-in and the secure MyBooking link using merge fields.
  • Create "Check-in Complete" SMS Letter: Start by creating a customized Letter with a request to start check-in and the secure MyBooking link using merge fields.
  • Go to the Default Letters section at the top of LETTERS.
    1. Complete" Letter Note: If you do not want to use SMS, then leave this drop-down menu on "Select Letter".
      1. Email: Select the
    EMAIL
      1. Letter you created as the Default Letter in the drop-down menu next to "Self Check-in Complete" Email.
      2. SMS: Select the
    EMAIL
      1. Letter you created as the Default Check-in Complete SMS Letter in the drop-down menu next to "Self Check-in Complete" SMS.

    To Create the "Self Check-in" Email Letter, follow these steps 

    Create the Letter and/or SMS that will be emailed and/or messaged to guests to start the Self Check-in Process This Letter/Message is what  the Guest receives on or before the check-in date (depending on when you schedule it), requesting them to start check-in and a link to MyBooking. The link to MyBooking must be inserted into this letter using a merge field. It can be inserted anywhere in the Letter, but must be there in order for the Guest to start Self Checkin and/or manage their booking details. 

    If you choose to the use SMS option, then you will need to create a separate SMS Template for each Letter.  For example, if you want to send the "Self Check-in" Letter via email and SMS, you would create two Letter Templates and select "email and SMS" next to the Default Letter.

    After this letter is created, it must be set as the Default and set up as an Auto Letter function to be automatically emailed to the Guest on the check-in date.

    • Go to SETUP | PARAMETERS | LETTERS and either create a new Letter or edit an existing Letter by clicking on the Letter ID.  We provide a default "Self Check-in" Letter that you can customize to your property.

    There are two MyBooking merge fields,%%ruid_link%%", that you can insert into your Letters depending on your needs. This link will display a link to MyBookings.

    To insert either or both of these merge fields into your Letter:

    • Place your cursor inthe body of the Letter where you want the Self Checkin link to display.

    • Go to the BookingCenter Globe Icon and the "Booking Details" Section. Select the merge field and it will be inserted into your Letter where the cursor is.

    • Click Update to save changes.

    To Create the "Self Check-in" SMS message, follow these steps 

    • Go to SETUP | PARAMETERS | LETTERS 
      Click on Add.
    • In the Letter Type drop-down menu, select SMS.
    • Enter the text for SMS message. There is a limit of 500 characters.

    There are two MyBooking merge fields, %%ruid_link%%", that you can insert into depending on your needs. This link will display a link to MyBookings.

    To insert either or both of these merge fields into your Letter:

    • Place your cursor inthe body of the Letter where you want the Self Checkin link to display.

    • Go to the BookingCenter Globe Icon and the "Booking Details" Section. Select the merge field and it will be inserted into your Letter where the cursor is.

    • Click Update to save changes.

    1. "MyBooking Cancellation" Letter 

      1. Email: Select the Letter you use for Cancellation Confirmation in the drop-down menu next to "MyBooking Cancellation" Email.
      2. SMS: Select the Letter you created as the Default  Cancellation SMS Letter in the drop-down menu next to "MyBooking Cancellation" SMS.
    2. eSign Letter: This is the Letter that the Guest will digitally sign and submit.at Check-in. Ie. Registration Letter.  See Create Default eSign Letter
    3. eSign Letter; Suppress Rates: This eSign Letter specifically used for Suppressed Rate Agents at Self Check-in. This Letter can be customized to your needs, I.e. no rates or charges displayed and will automatically open for the guest to sign in place of the Default eSign Letter.  See Self Check-in | Default Letters
