Owner's can be assigned to one or multiple units. The Owner must first be set up and active in order to assign a unit or room, depending on your label.

The Owner is assigned in the settings of unit or room in SETUP. Therefore any changes made to the description, occupancy, beds, or amenities in the Owner Unit is made in the unit or room settings itself. See Add or Edit Rooms

To view occupancy for Owner Units, go to Bookings Report and choose sort by Room.


To assign a unit to an owner, go to SETUP | RATES | ROOMS

  • Click on the Room ID which you want to assign
  • Click Edit
  • Choose the Owner from the drop down list
  • Click Save

Communications to Owners - Emails and/or SMS Letter

If you wish the Owner to be notified when an online booking occurs for the Owner's unit(s) then make sure the option: Send Letter? is set to YES .  Also, assign a Default Letter and/or SMS for the specific Owner.  If a default Letter(s) is assigned, an online booking will trigger the Owner Email and/or SMS to the Owner with the details saved in the Letter.

Set up an Owner for each unit and track their expenses, payments, commissions and then generate reports. Add as many Owners as needed.

Each OWNER (associated with specific units or unit types) can also have the following analysis:

  • Detailed bookings made, arriving, or departing between date ranges: This is perfect for providing a list of bookings per Owner. This report would normally be run at the end of a month or fiscal quarter to report on all bookings – and the financial summary allocated to the bookings – per Owner based on the Rooms identified as ‘owned’ by the Owner.
  • Print out specific Owner Details on the Booking Confirmation screen to override the system default. This enables the Confirmation letter to provide property-specific driving address/contact details so that a specific confirmation letter can be sent for each booking based upon the actual Room booked. This can be sent as a fax, letter, or via email with one-click. This would normally be sent to a Guest who had booked a Room that was unique in its needs for a custom confirmation letter. While individual customized Letters COULD be used to send each Confirmation Letter, once the Owners module is purchased,
  • The Owners Module can be used to manage your payments to each Owner. Because many property management companies pay Owners on a regular basis for bookings generated through their properties, we use our Agents feature to track Owner payments. Below is an example of an Owner record with the historical bookings paid to that owner by receipt date and number. The use of the Agents feature to track Owner payments is available only to Desktop Pro users. MyPMS users utilize the 'House Account' to perform a similar entry, and Management Tool Pro is not built for such detailed tracking
