The Booking Details of a Guest opens when you access the booking from the Tape Chart or through Search Bookings. The Booking Details area contains all of the Guest details, booking and payment information.  Each of the Tabs available in the Booking Detail section pertain only to the Guest only Record being viewed and are used to manage and change the guest booking, balance folios, print receipts and send correspondence.

Bookings are displayed through several sub-pages. When accessing a booking record, the confirmation number and guest name are on the upper left hand side of the page. Below this information is a series of tabs that identify which part of the booking you are currently viewing.

You may tab back and forth between the sections without losing any data that you input. When you are done making changes, press "Save" or "Save and go to

Frontdesk" on the Booking Data pageThe Guest Booking Details you are managing are always shown in the Booking Header and you can move between the TABS without losing any data. However, it is important that you click SAVE after making any changes.

A brief description of each section are as follows:

The first field, the guest last name, is an EZ Search field and, for a repeat guest, is the only field that is used for a repeat guest. Once the guest is selected, the following fields are auto filled if data exists:

  • Last Name
  • First Name
  • Salutation
  • Date of Birth
  • Address
  • Zip code
  • City
  • State
  • Country
  • Home Phone
  • Cell Phone
  • Business Phone
  • Guest Comments
  • Other than this, the only unusual entries are:

    Zip Code – if your property is using the Zip Code Auto-fill (for North American customers only), then when you type in the zip code, the city and state fields will automatically populate. If there are more than one city associated with the zip code entered, a drop down list will appear allowing you to select which city is appropriate. You can override the city and state by tabbing down to the city and typing the city given by the guest. Please note that this database is updated quarterly and is likely to be more accurate than what the guest is telling you. If the city is incorrect, please reconfirm that you typed in the correct zip code.
